Identify the account without copying every secret
Record the provider, account type, purpose and a short identifying label. The last few characters of a reference may be enough to distinguish two similar accounts; do not include complete details unless they are genuinely needed and securely stored. Keep login credentials in an appropriate separate access system.
Include accounts that are rarely used if they still exist. A savings account with little activity, an old investment platform or a recurring service can be easy to forget. Mark an account as closed only when closure is confirmed, rather than assuming inactivity means the relationship has ended.
Add the information needed for a review
Note where statements arrive, which contact details are registered and whether there are regular incoming or outgoing payments. This helps identify an account that still supports an important transfer. Changing or closing it without checking those links can disrupt a separate arrangement.
Record ownership and any relevant restrictions accurately. A personal account, a joint account and an account operated on another person's behalf are not interchangeable. Where authority is unclear, obtain appropriate guidance rather than treating possession of the inventory as permission to access or manage the money.
Keep values separate from the inventory
You can link the account list to a dated balance snapshot, but avoid presenting an old balance as current. The inventory answers where the account is and why it exists; a statement or valuation answers what it held at a particular time. Combining these functions without dates can make a tidy list misleading.
For illustration, “savings account for annual expenses; statement online; reviewed in October” is useful even without a balance. A separate dated record can show the amount assigned to that goal. This reduces the need to update the entire inventory after every small transaction.
Make maintenance and access deliberate
Update the list when opening, closing or changing an account. Check that the official contact route can be found independently, not only through an old email link. Store the inventory with protection appropriate to the information it reveals.
If another authorised person may need the record, explain where it is and what it does not authorise. Arrangements for incapacity or estate matters depend on local law and formal permissions; an informal list does not replace them. The inventory's role is to reduce missing information while keeping access controlled.
